Refund Policy

This Refund Policy governs all payments, refunds, and cancellations for services provided by Allentics IT Solutions Pvt. Ltd. ("Allentics", "we", "our", "us").
By purchasing or using our Services, you agree to this Refund Policy in addition to our Terms of Service and any applicable agreements.
1. General Principles
Allentics provides:
- Custom automation implementations
- AI-powered systems
- Managed services
- Subscription-based software
Due to the nature of:
- Custom engineering work
- API provisioning and infrastructure costs
- Human implementation time
- Real-time platform usage
All payments are final and non-refundable except in the limited cases explicitly defined in this policy.
Refunds are not guaranteed and are granted only at Allentics' discretion when eligibility conditions are met.
2. Definitions
- Setup Fee – one-time fee for onboarding, configuration, customization, and deployment
- Subscription Fee – recurring fee for platform access and usage
- Delivery Date – date committed in writing for initial setup completion
- Scope Document – written onboarding or proposal document defining deliverables
3. Refunds on Setup & Implementation Fees
3.1 Eligibility for Setup Fee Refunds
Setup and implementation fees are refundable only if all of the following conditions are met:
- Allentics fails to deliver the explicitly agreed written setup scope, and
- The failure is solely attributable to Allentics, and
- No usable system or workflows have been delivered, and
- A formal written refund request is submitted within 14 calendar days from the committed Delivery Date
Refund eligibility applies only when:
- Core deliverables were not delivered at all, or
- The primary automation workflows cannot be executed in production, or
- Delivery is delayed beyond the committed timeline including the documented flexibility buffer (up to 14 days)
3.2 Non-Refundable Setup Scenarios (Very Important)
Setup and implementation fees are strictly non-refundable in all of the following cases:
- Scope, workflows, channels, or requirements are modified after onboarding
- Delays occur due to:
- Missing credentials or API access
- Pending approvals from WhatsApp / Meta / Google
- Content or data not provided on time
- Customer unresponsiveness or internal delays
- Partial delivery or partial configuration has been completed
- The system is delivered but the Customer chooses not to proceed
- The project is paused, cancelled, or abandoned by the Customer
- Third-party platform limitations prevent full functionality
- External API restrictions or bans affect deployment
- Testing or pilot deployment has begun
- Engineering or configuration work has started
All customization, engineering time, and configuration effort is irreversible and therefore non-refundable once work has commenced.
4. Refunds on Subscription Fees
4.1 Monthly Subscriptions
Monthly subscription fees are non-refundable.
This includes:
- Platform access fees
- Usage-based charges
- API consumption fees
- Monitoring and support charges
Reasons:
- Platform resources are provisioned immediately
- Automation workflows run continuously
- Infrastructure and API costs are incurred in real time
- Engineering and monitoring capacity is allocated
Cancellations:
- May be made at any time
- Take effect only at the end of the current billing cycle
- Do not generate partial or prorated refunds
4.2 Annual & Prepaid Subscriptions
Annual and prepaid subscription fees are:
- Non-refundable once the subscription term begins
- Not eligible for partial refunds for unused months
Enterprise contracts may include custom termination clauses only if explicitly stated in writing.
5. Trial, Pilot & Proof-of-Concept Programs
Where trials, pilots, or proof-of-concept access is offered:
- Trials are provided on an "as is" basis
- No refunds are issued for:
- Trial access
- Pilot deployments
- Proof-of-concept programs
- Conversion to paid plans is final and non-refundable
6. Refund Denial & Abuse Prevention
Refunds will be automatically denied in any of the following cases:
- Platform misuse or abuse is detected
- Spam, unauthorized messaging, or policy violations occur
- Violations of WhatsApp, Meta, Google, or API provider policies
- Account suspension or termination occurs due to misuse
- Chargebacks are initiated without prior dispute resolution
- Fraudulent activity or misrepresentation is detected
Allentics reserves the right to:
- Terminate accounts
- Block future access
- Withhold refunds in cases of abuse
7. Chargebacks & Payment Disputes
Before initiating any chargeback:
- Customers must first contact Allentics for dispute resolution
Unauthorized or premature chargebacks may result in:
- Immediate suspension of Services
- Termination of account
- Permanent blocking of future access
Allentics reserves the right to:
- Contest chargebacks
- Provide onboarding, usage, and delivery evidence
- Recover administrative and legal costs where permitted
8. Refund Processing Rules
Approved refunds:
- Are processed within 7 to 14 business days
- Are issued only to the original payment method
- Exclude:
- Taxes
- Payment gateway charges
- Bank processing fees
- Third-party API costs
Non-recoverable infrastructure and API expenses may be deducted from approved refunds.
